What a valid invoice has to contain

An invoice is a demand for payment, and in most countries it has to carry certain information before a client’s accounts department will pay it — or before you can use it in your own bookkeeping. The exact rules vary, but this list covers what almost every jurisdiction expects:

  • The word Invoice, so it is not mistaken for a quote or a receipt
  • A unique invoice number that never repeats
  • The date you issued it and the date payment is due
  • Your name, address and contact details, plus any tax registration number
  • The client’s name and address — the legal entity, not just a person’s first name
  • A clear description of what you supplied, with quantities and unit prices
  • The subtotal, any tax shown separately with its rate, and the total due
  • How to pay you

If you are registered for VAT, GST or sales tax, showing the tax as its own line at its own rate is usually a legal requirement rather than a nicety — your client needs it to reclaim the tax.

Invoice numbers matter more than people expect

They must be unique and they should run in an unbroken sequence. Auditors and tax authorities look at gaps, because a missing number suggests an invoice that was issued and then quietly deleted. Starting at INV-0001 also tells a client you have had exactly one customer, so many freelancers begin at a less revealing number or prefix by year: 2026-014.

The +1 button beside the number understands padding, so INV-0099 becomes INV-0100 rather than INV-100. That keeps the sequence sorting correctly in a folder for years.

Tax added on top, or already included

Both are correct; they answer different questions. If you told the client “£120 plus VAT”, use added on top. If you told them “£120 all in”, use already included.

You can also set a different rate on an individual line by typing it into that line’s Tax % box — useful when some of what you supplied is zero-rated or exempt. The totals then show each rate as its own band, which is exactly how a tax invoice is supposed to present it.

Getting paid faster

Late payment is the tax on freelancing that nobody warns you about. A few things measurably help, and they are all things you control on the invoice itself.

Put the due date in, not just the terms. “Net 30” requires the reader to do arithmetic. An actual date does not, and it is much harder to argue with.

Invoice the day the work lands, not at month end. Payment clocks usually start when the invoice arrives, so a fortnight of sitting in your drafts is a fortnight added to when you get paid.

Make paying you trivial. Full bank details, the reference you want quoted, and the currency. Every question a client has to ask you first is a week.

Send it to the right place. Larger companies pay from accounts payable, not from your day-to-day contact’s inbox. Ask who to send it to before the first invoice, not after the first late one.

Why nothing is uploaded

The invoice is assembled in your browser and the PDF is written on your device. Your rates, your client list and your bank details never reach a server, because there is no server involved — you can watch the network tab while you use it and see no request from this tool at all.

That matters more here than on most tools. An invoice contains your client relationships and your payment details, which is exactly the information you would not paste into an unknown website. The one thing this page can store is your own details, and only if you press Remember my details, which keeps them in your browser on this device and nowhere else. Forget them clears that immediately.

For completeness: the site’s theme loads its web fonts from Google on every page, as most WordPress themes do. That is separate from this tool and never sees anything you type.

Questions people ask

Is it really free, and is there a watermark?

Free, no watermark, no account, no cap on the number of invoices. There is a single line at the bottom of the PDF saying where it was made, which you are welcome to consider fair payment.

Can I put my logo on it?

Yes. Add it in step one and it appears at the top of the PDF. Your file is converted to JPEG in your browser and the bytes are placed straight into the document, so it never leaves your device either. Wide or tall logos are scaled to fit the header rather than stretched, and a small one is left at its own size instead of being blown up and going fuzzy.

Will the numbers be exactly right?

Yes, and that is worth explaining. All the money arithmetic runs in whole cents rather than decimals, because decimal arithmetic in JavaScript produces answers like 119.99999999999999. When a discount is split proportionally across lines, any rounding remainder is placed on the largest line so the parts always add up to the total.

Can I edit the invoice after downloading?

The PDF is final, but the form keeps everything on screen — change a figure and download again. Nothing is submitted, so there is no draft to lose.

Which currencies does it handle?

Twelve, including USD, EUR, GBP, PKR, INR and AED. A handful of symbols such as the rupee and naira have no character in the PDF’s standard font, so those invoices show the three-letter code instead — clearer than a missing glyph.

Do I need to charge tax?

That depends on where you and your client are, and on whether you are registered. This tool does the arithmetic for whatever rate you enter; it cannot tell you which rate applies. If you are unsure, that is a question for an accountant in your country rather than a web page — the cost of getting it wrong is usually larger than the cost of asking.
